What You Will Get To Do:

As an Executive Assistant to the Head of GIDS Asia Pacific, Middle East & Africa, you will provide high-level administrative and organisational support to the Director, ensuring the smooth management of daily operations. This includes complex diary and inbox management, coordinating meetings across time zones, arranging travel, preparing presentations and reports, and handling sensitive information with discretion. The role also supports approvals, expense management, and general administration, acting as a trusted point of coordination across internal and external stakeholders.

  • Proactively manage the Director's complex diary across multiple time zones, coordinating internal and external meetings via Zoom and Teams.

  • Coordinate desk bookings across office locations in line with the Director's schedule and requirements.

  • Monitor and manage approval workflows on behalf of the Director, ensuring timely action and follow-up.

  • Provide flexible support outside of core hours as required.

  • Handle highly sensitive and confidential information with discretion, integrity, and professionalism.

  • Coordinate internal and external meetings, including room bookings across locations and time zones, catering arrangements, and distribution of materials.

  • Prepare agendas, minutes, action items, and maintain accurate action logs.

  • Develop and format presentations and supporting documents, working closely with the Director on PowerPoint materials.

  • Manage the Director's inbox and task list, responding or delegating where appropriate, flagging priority items, and tracking actions to completion.

  • Produce and maintain regular reports and provide support/cover for other Assistants as required.

  • Arrange end-to-end travel, including flights, accommodation, and ground transport.

  • Manage visa applications and renewals and prepare detailed travel itineraries.

  • Provide general administrative support, including document preparation and formatting.

  • Manage expense submissions via Workday, ensuring timely and accurate processing.

  • Maintain contact databases and order business cards, gifts, and other items as required.

  • Coordinate IT and equipment requests for new team members, supporting onboarding where needed.

  • Undertake additional ad hoc tasks as directed.

What You Will Bring:

  • Proven experience supporting C-suite or senior executive-level stakeholders in a fast-paced environment

  • Advanced proficiency across Microsoft Office, particularly Excel and PowerPoint

  • Experience using Workday or similar HR/finance systems

  • Strong background working within a corporate environment

  • Highly self-motivated with excellent communication and organisational skills

  • Flexible and responsive, with the ability to provide support outside of standard business hours when required

  • Experience within financial services is advantageous
