Job Description:
The Accounts Payable Clerk is responsible for auditing and processing company paid employee travel expenses and employee expenses. Daily functions include the reconciliation of the corporate travel account, gathering & auditing supporting documentation, auditing receipt submittals, submitting expense reports, and the proper allocation of expenses across various divisions & projects. Additionally, the Accounts Payable Clerk maintains comprehensive & accurate tracking sheets and provides secondary supports to other AP functions.
Responsibilities Corporate Travel Account (Ghost Card)
· Reconcile and label receipts using the US bank statement reconciliation spreadsheet
· Coordinate with the logistics team to obtain missing receipt documentation
· Research and report unknown or unauthorized charges to management
Expense Reporting
· Audit employee receipt submissions and prepare the backup documentation to submit expense reports on behalf of employees
o Ensure reimbursement expense requests are in accordance with the company travel policy
· Coordinate with employees and supervisors to answer any reimbursement questions and resolve issues
· Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
· Ensure each charge is assigned a project, organization, expenditure type and task number (POET)
· Allocate charges to the appropriate projects based on the employee's labor hours, location and project specific billing parameters
· Assist with other duties as requested by the AP Manager or AP Supervisor
Qualifications:
· Bachelor's Degree in Accounting, Finance or related discipline preferred
· 1-3 years of Accounts Payable experience preferred
· Intermediate Microsoft Excel skills are required
· Familiarity with Accounting software, Oracle preferred but not required
· Must have strong work ethic
· Must protect organizations values by keeping information confidential
· Strong organizational ability and a self-starter
· Ability to follow standard procedures
· Excellent attention to details, professional attitude, reliable and a team player
· Effective communication skills
· Ability to consistently meet all deadlines
