Position Summary:
The Construction Administrator plays a pivotal role in overseeing the bidding and construction phases of architectural and engineering projects, ensuring successful delivery within scope, budget, and schedule. This position acts as the primary liaison between the design team, contractors, clients, and consultants throughout the construction process. The Construction Administrator is responsible for ensuring that all construction activities align with contract requirements, design intent, and industry standards, while maintaining strong client relationships and supporting business development initiatives—particularly in the K-12 education market. The ideal candidate demonstrates excellent technical expertise, negotiation skills, communication, and professionalism to achieve project success and client satisfaction.
Essential Job Functions:

- Serve as the primary point of contact for contractors and clients during the construction phase, ensuring clear, professional, and timely communication.
- Proactively identify, negotiate, and resolve project issues and disputes while keeping all parties informed.
- Foster and maintain strong relationships with existing clients and support long-term client satisfaction and repeat business
- Manage and coordinate all aspects of the bidding process and the construction phase of projects, including onsite construction observations and documentation.
- Schedule, lead, mediate, and document construction project meetings, ensuring all stakeholders are informed and aligned.
- Monitor project progress for compliance with contract requirements, design intent, and construction schedules.
- Review, evaluate, and certify contractor applications for payment in accordance with contract provisions.
- Review contractor submittals, RFIs, and quotes for accuracy, completeness, and adherence to project specifications.
- Coordinate project closeout activities, including substantial completion, punch lists, and final acceptance documentation.
- Track and update project budgets and construction costs throughout all project phases.
- Negotiate and document change orders, ensuring fair pricing and proper contract documentation.
- Review all contractor proposals and quotes for conformance with project scope and cost expectations.
- Maintain accurate project records and documentation related to contracts, costs, and correspondence.
- Execute work in accordance with internal quality procedures, applicable codes, legislation, and industry standards to ensure project compliance and technical excellence.
- Actively pursue continuous learning opportunities to maintain a high degree of technical knowledge and professional competency in structural engineering.
- Promote and maintain a culture of safety by working in a safe manner at all times and promptly reporting all health and safety incidents or concerns.
- Perform additional tasks as required to support project goals, team objectives, and company initiatives.
Required Qualifications:
- Experience with New York State K-12 capital projects.
- Extensive knowledge of construction including methods, types of material, code compliance, inspection standards, etc. as well as front-end of specifications and Owner / Architect contracts and Owner / CM Agreements.
- Has the ability to communicate effectively and interact successfully with clients, contractors & other professional disciplines.
- Must be able to synthesize team ideas and contributions, and to plan, organize and implement successful and timely results.
- Strong written and oral communication, and presentation skills
- Proficiency in Revit, and good knowledge of industry software, including Microsoft Office Suite.
- Active and clear driver's license, including a successful clearance of a Motor Vehicle history check.
Preferred Qualifications:
- Experience with business development for professional services.
- Project management and/or professional design experience.
Physical Requirements:
- Ability to walk, stand, and move about construction sites—including uneven terrain, stairs, scaffolding, and partially completed structures—for extended periods.
- Ability to climb ladders and access elevated work areas as needed for site inspections.
- Ability to sit for prolonged periods while working at a computer or attending meetings.
- Occasional lifting and carrying of materials such as drawings, specifications, or equipment weighing up to 25 pounds.
- Sufficient visual acuity to read and interpret construction drawings, specifications, computer screens, and field conditions.
- Adequate hearing and speech to communicate effectively in person and via telephone, video conference, or in noisy construction environments.
- Use of appropriate personal protective equipment (PPE), such as hard hats, safety vests, safety glasses, and steel-toed boots—required when on active construction sites.
Work Environment / Environmental Factors:
- The position involves a combination of office and field environments. Time is typically divided between a standard office setting (performing administrative, coordination, and communication tasks) and active construction sites where field observations and meetings occur.
- Work involves extensive use of computers, digital communication tools, and design software in an open or hybrid office environment.
- This role requires frequent interaction with project teams, clients, consultants, and other stakeholders through in-person meetings, video conferences, and phone calls.
- Routine travel to construction sites, client offices, and off-site meetings is required.
- Work at project sites may involve exposure to active construction environments, including noise, dust, varying temperatures, and weather conditions.
- The position requires adaptability to shifting project priorities, client expectations, and multidisciplinary coordination.
- Work may occasionally involve tight deadlines, multiple concurrent projects, and high attention to detail under time-sensitive conditions.
- Collaboration across multiple time zones or with remote team members may be necessary, depending on project scope and firm structure.
Additional Information
- This is a full-time, regular position, with typically standard working hours between 8am – 5pm, Monday through Friday. However, this position may require occasional extended hours to meet project milestones, deadlines, or client needs.
- This position is considered hybrid, with a 20% office presence, 60% site visits and/or client meetings, and 20% remote presence (ability to work from a home location). This arrangement is subject to review and may change based on project need or at the company's discretion.
Anticipated Hiring Range:
- $75,000 - $95,000. Please note that this range reflects the pay scale that Tetra Tech reasonably expects to pay for the role. The salary will also depend on various factors, such as job duties and requirements, and relevant experience and skills.
