The Program:
Australia Assists is an Australian Government program that deploys skilled humanitarian specialists to support multilateral agencies, governments, civil society and communities to prepare for, respond to, and recover from disasters and conflict. Australia Assists' Goal is to: Save lives, alleviate suffering, and maintain human dignity during and in the aftermath of conflict, disasters and other humanitarian crises, and strengthen preparedness for the occurrence of such situations. The program's Objective is: Targeted deployment of humanitarian expertise that meets the priorities and needs of Australia's multilateral, bilateral and civil society partners and advances Australia's international humanitarian priorities.
The Role:
The role is responsible for managing the deployment lifecycle, from mobilisation through to demobilisation, for deployees assigned to their portfolio. This includes the coordination of mobilisation activities, including medical assessments, travel arrangements, and uniform provision. Serving as the primary contact for deployees throughout their deployment, they manage end-to-end logistics and ensure all operational and administrative requirements are met. The coordinator liaises with the host organisation to facilitate smooth operations, monitors deployee performance, and assists with reporting. Additionally, they refer deployees to relevant services as needed, ensuring comprehensive support during the deployment process, until their return.

Key responsibilities
- Coordinate the deployment lifecycle logistics, ensuring efficient engagement, safe deployment, performance monitoring, and effective partner support, and incorporating GEDSI, CCDR, and capacity strengthening objectives, in line with the Prioritisation Framework in partnership with program colleagues.
- Arrange mobilisation activities, including partner meetings, briefings, medical clearance, uniform issue, psychosocial support, and travel arrangements.
- Serve as the key point of contact for deployees, providing consistent end-to-end logistics and support through Deployee Support Services (DSS), throughout their deployment.
- Support the Deployments Manager with timely quality reporting, capturing learnings from each deployment to inform capacity development opportunities.
- Identify and promote in-region capability through utilisation of suitably skilled deployees on active deployment facilitating rapid engagement of in-region resources when needed
- Manage regional deployments with local personnel to better coordinate logistics with Host Organisations and stakeholders (e.g., in language, in local time zones, with understanding of relevant cultural contexts).
- Conduct detailed return and review debriefs, on occasion in coordination with DFAT, overseen by the HR and Deployments Managers.
- Ensure safety, security, mobilisation, travel, and provision of assets and equipment for deployees on active deployments in collaboration with the Risk, Safety and Security Advisor
- Actively contribute to the achievement of program Partner Performance Assessment (PPA), and Adviser Performance Assessment (APA), achieving a rating of 4 or above.
- Comply with health, safety and security policy and procedures, and incident reports are completed and managed appropriately.
Selection criteria
- Tertiary qualifications in a relevant discipline such as logistics management, public administration, project management, business administration, social sciences, or a related field
- Previous experience (typically 3+ years) in logistics, travel coordination and administration, or similar coordination roles.
- Coordinated tailored end-to-end deployment lifecycles, ideally in an international development and/or humanitarian and/or emergency context.
- Demonstrated experience developing and maintaining collaborative partnerships with government agencies, host organisations, and service providers
- Strong understanding of logistics and procurement principles and methodologies, with the ability to develop and execute effective strategies.
- Ability to build and maintain professional relationships with a range of stakeholders, including government agencies, NGOs, donors, and the private sector.
- Customer-focused mindset with a commitment to delivering high-quality service and meeting program objectives
- High level of cultural sensitivity and the ability to work effectively in multicultural environments.
- Strong commitment to compliance, ethical standards and principles, including transparency accountability, and inclusivity in program implementation.
- Leads by example and contributes to the development of a program culture that is innovative, fair and productive.
