Our Winnipeg Tetra Tech office is currently seeking an Intermediate Administrative Assistant. The selected candidate will be responsible for coordinating the preparation and organization of multiple documents and deliverables according to internal and external client requirements and schedules. The Administrative Assistant will share duties with other administrative team members including greeting clients, answering calls, and performing a variety of administrative and project tasks as assigned.

Your Role:

  • Format and produce technical documents, proposals, and other deliverables in electric and hard copy formats
  • Prepare and review large format reports/proposals with table of contents, tables, headers/footers, and section breaks, using MS Word
  • Prepare and compile PDF files using Adobe Pro
  • Proofread and edit documents for spelling, grammar, consistency, punctuation, word choice and readability
  • Assist with invoice coding, timesheet entry, expense report preparation, and travel booking
  • Provide general administrative support and guidance to the project managers, engineers and designers.
  • Attend meetings and record and distribute meeting minutes.
  • Perform general reception duties, as required.

Qualifications:

  • A post-secondary degree or diploma in business or administration is preferable
  • Minimum of 5 years administrative experience , preferably with consulting engineering or project related experience.
  • Must be proficient in Word, Teams, PowerPoint, Outlook, Excel, and Adobe Pro
  • Exceptional attention to detail
  • Confident and self-starter
  • Ability to work with minimal supervision and as part of a team
  • Excellent written and oral communication skills

Additional Information

A requirement of working for Tetra Tech is that you are at least 18 years of age and legally entitled to work in Canada. (A copy of a valid work permit may be required.)

If you are considered for the position, clearance on all applicable background checks (which may include criminal, identity, educational, and/or credit) and professional reference checks is required. Some Tetra Tech positions require an enhanced level of background assessment, which is dictated by law.  These positions require advanced criminal record checks that must also be conducted from time to time after commencement of employment.

A technical/practical assessment may be administered during the selection process and this exercise will be used as a part of the selection criterion.

To meet the physical demands required of some positions, candidates must be in good physical condition and willing to work in all weather conditions. Clearance on pre-placement medical and drug and alcohol testing may be required. As this position may be serving clients that have COVID-19 vaccination requirements for site access, we will be confirming your eligibility to comply with this requirement.
