The Executive Assistant will provide high-level administrative support to the Chief Operating Officer and the Regional Operating Officers. Reporting directly to the COO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the other Company Executives, Executive Committee, and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant will lead and provide support to internal and external parties with an elevated level of professionalism and reflect positively on the organization.

The Executive Assistant role requires the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

ESSENTIAL JOB FUCNTIONS:

  • Manage sensitive matters with a high level of confidentiality and discretion, particularly those impacting global operations and C-Level decisions.

  • Coordinate and manage complex scheduling and calendars for senior executives, including professional and personal engagements, ensuring smooth information flow, and resolving any scheduling conflicts.

  • Coordinate internal and external resources to streamline workflows and ensure that executive priorities and organizational goals are met.

  • Serve as the primary liaison between senior executives and internal/external stakeholders, managing communications, drafting correspondence, and ensuring timely follow-up on various projects and tasks.

  • Arrange and manage travel accommodations for executives, prepare and process expense reports, and assist with logistics, such as transportation for visitors and clients.

  • Prepare presentations, reports, agendas, and other documents in Word, Excel, and PowerPoint to support organizational objectives, assisting with the creation and management of presentations and decks for meetings.

  • Welcome and assist guests, maintain a professional and tidy work environment, and ensure all building security procedures are followed.

  • Provide administrative support such as managing office supplies, mail, and meeting room setups.

  • Assist with special projects, including personal tasks, team communications, and event planning (both internal and off-site).

  • Participate in safety and security protocols, including emergency roles as needed.

  • Conserve the executive's time by handling research, information gathering, and analysis in advance of meetings.

  • Manage the executive's contacts and be responsive to communications outside of normal business hours.

  • Provide general administrative assistance, including answering phone calls, screening messages, monitoring project information, and offering overflow support to service lines as needed.

  • Perform other duties as assigned.

POSITION REQUIREMENTS:

  • A bachelor's degree is required.

  • At least 5 years of related experience in an executive assistant role, supporting C-Level executives is required.

  • Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint).

  • Excellent verbal and written communication, with the ability to interact confidently and professionally at all levels.

  • Possess a high level of professionalism, confidentiality, and discretion in handling sensitive information.

  • Dedicated to performing duties at the highest standard consistently.

  • A willingness to work flexible hours and adapt to changing priorities in a dynamic environment.

  • Strong business sense, capable of making sound judgment calls and prioritizing tasks effectively.

  • Collaborative and team-oriented approach, with a strong focus on providing exceptional service.

  • Ability to think creatively and act with urgency when needed.

  • Strong customer service skills, ensuring timely, accurate, and courteous service delivery.

  • Capable of managing multiple projects and a heavy workload in a fast-paced environment.

  • Strong desire to succeed in an entrepreneurial setting.

  • Travel may be required.
