Job Summary

Under the supervision of the OSD Operations Manager, provide executive level administrative and project-based support for the Office of Student Development (OSD) unit management team and back up assistance to the Orientation and First-Year Experience (FYE) sub-units within OSD.

Responsibilities include: Provide executive-level administrative and project support for the OSD management team and other OSD staff & programs including resource planning, reports, and student staff recruitment and supervision. Hire, train and supervise 2 OSD student staff employees. Provide administrative assistance in day-to-day operations; provide administrative assistance with professional and student staff recruitment and hiring processes; calendaring and computer support. Work with complex policies, procedures, and systems; develop, evaluate, and provide customer service; fiscal transactions; provide central communication and resource point for students, staff, and visitors.

Qualifications

Minimum Qualifications

  • Experience with time management and organizational methods to effectively prioritize assignments and follow through to successful completion; manage details of complex projects and events for self and others, and to manage multiple assignments with overlapping deadlines.
  • Experience in supervision to recruit, hire, assign/direct work, evaluate and reward performance, and ensure performance accountability.
  • Experience providing executive-level support and managing multiple and dynamic electronic calendars. Familiarity working with sensitive and confidential information and using professional tact and courtesy skills to handle sensitive and/or difficult situations within a diverse environment.
  • Experience to independently manage computer systems, utilize e-mail, schedule Zoom/in-person meetings, MS Office programs, Google Drive platform, and general office equipment functions such as a copier/printer and multi-line phones.

Preferred Qualifications

  • Experience interpreting, analyzing and communicating policies and guidelines for diverse audiences (parents, faculty, staff, students, off-campus vendors) from a variety of social and cultural backgrounds.
  • Experience working with college students, acting in a lead capacity to train on processes/procedures, direct work and set expectations.
  • Skills to interpret and apply UC and departmental policies and procedures to render effective decisions based on knowledge of campus and University priorities, resources and policies; and to quickly orient oneself with campus-wide offices, administrative contacts, campus structure, and resources.
  • Skills to independently exercise judgment in problem solving, while remaining objective, in order to find a solution in a timely manner.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA) to protect and maintain the confidentiality, privacy and security of student records.

Student Housing and Dining Services (SHDS) is a self-supporting auxiliary that provides housing and dining services to approximately 15,000 undergraduate, graduate, and students with families who live in on-campus residential facilities (university owned/managed and Public-Private-Partnerships), as well as providing residential, retail and catering dining services for the campus community. Physical Demands

  • Lift filing materials or office supplies weighing up to 25 lbs.

Work Environment

  • Valid CA driver's license may be required. Position may participate in the Department of Motor Vehicles (DMV) Pull Notice System.
  • Occasional overtime may be required to meet operational needs
  • Work with constant interruptions & distractions, traffic & noise from telephone, visitors, etc.
