Under direct supervision of the Managing Director of Partnerships and Programs, and in support of the UCLA Office of Information Technology (OIT), the Events and Communications Manager will plan and execute logistics for both small and large scale events, develop and execute marketing, social media, and outreach strategies, and work across a variety of campus constituents in support of the OIT's programmatic research and technology goals across its internal units, including the Research Technology Group (RTG), Community Partnership Programs (CPP), Mobile Web Strategies (MWS) and Mobilized Labs, Privacy, Strategic Policy, IT Governance, Campus Educational Technologies, Clean Energy Smart Manufacturing Innovation Institute (CESMII), and Campus Data Initiatives. Establish and implement comprehensive, ongoing and planned marketing campaigns and produce communications materials that promote the services, programs, initiatives, and offerings of the OIT organization to faculty, students, and staff.
Schedule and forecast planning for special events that publicize the organization and its programs to the campus and Los Angeles community through a variety of sources. Create and continuously update annual editorial calendar and procedures to ensure consistency and constancy in messaging.
Plan medium to large events, including development of comprehensive planning calendar, execution of tasks, such as room reservations, registration planning and management, budgeting, payments, recharges, sponsorship outreach and management, vendor contracts, catering selection and orders, marketing, website updates, invitations, etc. working with event stakeholders.
Create a framework for comprehensive annual marketing and communications campaigns focused on the work of OIT technologists and researchers to the campus and to UCLA's external audience. Provide expertise and work with OIT directors, supervisors, managers and staff to produce and execute sustainable public relations/marketing/ social media content delivery for the organization and for each unit. Develop a strong internal and external communications structure that keeps all staff and the campus informed of OIT policy and practices, organization resources, work being done by the organization and other information related to staff members. Plan and update content for outward facing OIT websites to establish presence and present relevant information to constituents.
Work with campus Strategic Communications, External Affairs, Media Relations, and Public Outreach offices to ensure that the OIT message is understood and frequently promoted to internal campus and external resources for all OIT departments. Serve on campus committees for the purpose of establishing strong networks. Help create and conduct assessments and analytics in reviewing data from events, surveys, online, and other sources to provide input into marketing campaigns and events, and feedback to area supervisors. Develop and publish OIT's annual report working with both internal and external communities. Establish and maintain effective working relationships internally and across campus for the collection and exchange of information.
Acquire and maintain current knowledge of the activities and functions of the OIT, the concepts and trends of information technology usage within the tech industry and educational environment. Interpret, understand and apply University policies and procedures, branding guidelines, leadership and governance structures.
1.Bachelor's degree from an accredited institution in Marketing, Communications, Public Relations, Management, or related field or an equivalent combination of education and experience. Required 2.3-5 years professional marketing, social media, event planning, and/or media management experience. Required 3.Demonstrated ability to use technology to organize ideas, processes, documentation, tasks, distribution lists, and assignments. Required 4. Ability to research, assess and source vendors for relevant services, such as event management, design, editing, cloud services, etc. Required 5. Strong time management skills; proactive, and ability to maintain confidentiality and establish priorities. Required 6.Skill and experience in conducting in-depth interviews with a variety of populations, including high-level administrators, executives, and faculty. Ability to interview in both a one-on-one and group settings. Experience in coordinating and facilitating focus group sessions. Required 7.Demonstrated ability to use and configure survey/polling, scheduling, project management, CMS, and database cloud-based tools and applications, such as Survey Monkey, Polleverywhere, Zoom, Trello, Confluence or similar. Required 8.Demonstrated ability to systematically develop, organize, implement and evaluate logistical and administrative processes. Required 9.Demonstrated ability to organize and conduct meetings with support staff, or other participants to focus on planning related event or meeting, working with and supporting organizers. Required 10.Demonstrated ability to use commonly used software applications such as: Outlook, Word, Excel, PowerPoint, and Adobe Creative Suite. Required 11.Demonstrated ability to plan, coordinate and implement both large and small scale conferences, meetings and events. Required 12.Demonstrated ability to use commonly used web editing software, to maintain and update web pages. Advanced ability to use current computer programs for design and production of print and electronic materials. Preferred 13.Interpersonal skills sufficient to communicate effectively, both in person and on the phone, with a diverse range of faculty, staff, students, visitors and vendors. Required 14.Demonstrated ability to effectively work independently or as a team member, and to follow through on assignments with minimal direction. Required 15.Ability to function effectively in a fast-paced, changing environment with conflicting demands and prioritize work accordingly.
