Marketing and Communications in the College of Engineering serves the dean, college leadership team, and the college community through the planning and implementation of a comprehensive strategic communications effort. The Events Coordinator plans and implements Dean's Office events for internal and external audiences and provides consultation and support to the college's academic departments. UC Davis is a tier-one research university ranked 6th nationally among public institutions.


Job Summary

Under the direction of the Assistant Director of Communications and Culture and in collaboration with campus and college partners, the Events Manager plans and implements programs and events geared to engage students, faculty, staff, alumni, donors, business leaders, and other internal and external constituencies. This position provides planning, facilitation and consultation in all areas of event scheduling, managing university affiliated volunteers, budgeting, marketing, invitations, registrations, travel logistics, entertainment, campus protocols, hosting campus leaders and evaluation. The position also, executes annual and ad hoc events and programs that serve to heighten the profile of COE and its priorities including distinguished lectures series, various award ceremonies, student showcases, faculty and staff town hall meetings, and alumni and donor events. The Event Manager will serve as college's Commencement Coordinator for Spring and Fall commencement.

4-WEEK RECRUITMENT PERIOD: Applicants will be screened after two weeks; and then on a weekly basis. Priority will be given for applications received by 5/16/2024. The position can be filled prior to the removal date.

PHYSICAL DEMANDS

  • Move/manipulate supplies and equipment of various weights (up to 25lbs) using a cart and/or hand truck.

WORK ENVIRONMENT

  • Provide own transportation for work related travel. 
  • Work flexible schedule, occasional varied lunch hour evenings/nights, weekends, and holidays, usually on short notice to meet operational needs. 
  • Position requires attendance at evening and weekend functions and events. 
  • Participation in commencement ceremonies is mandatory.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience developing, monitoring, and evaluating program and event budgets and financial reports.
  • Experience using advanced features of word processing, database spreadsheets, email, and web-based software.
  • Experience recruiting, motivating, organizing, and directing volunteers and groups.
  • Experience handling and prioritizing multiple tasks, establishing goals, organizing projects, and meeting deadlines.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Knowledge of event planning concepts, principles, practices, industry trends, best practices, and benchmarks.
  • Interpersonal communication skills and political acumen, including skill in effectively representing the college and the university to its stakeholders, including business writing and oral communication skills that generate engagement and participation.
  • Decision-making and problem-solving skills to recognize and deal effectively with real and potential problem areas.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:    

  • Experience implementing promotional and marketing techniques to target audiences.
  • Experience in procurement for all aspects of program implementation including securing bids and quotes for goods and services from various vendors.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Ability to identify a program need and to develop new programs and events.
  • Ability to research, collect, and analyze information on promotional events and programs.
  • Knowledge of University and campus policies and procedures.
