DEPARTMENT OVERVIEW

Colleges, Housing and Educational Services (CHES) is a multi-funded organization within the division of Student Affairs and Success (DSAS) at the University of California (UC) Santa Cruz. CHES provides leadership in the areas of college student life and residential services, housing services, facilities, capital planning, dining services, conference services, early education services, and business and financial analysis for these areas. Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents. CHES provides on-campus housing and dining services to nearly 9,500 undergraduate and graduate students in ten residential colleges and six multi-college affiliated residential communities which support single students and students with families.

JOB SUMMARY

Under the supervision of the Director, of Capital Planning, the Maintenance Project Specialist is involved in all aspects of CHES and DSAS facility planning and may additionally support CHES-specific Capital Planning and Major Maintenance projects and programs. The position primarily oversees the DSAS space assessment and is responsible for evaluating DSAS program spaces; and recommending changes in space utilization or repairs to maintain overall facility health. The Maintenance Project Specialist evaluates existing DSAS program spaces and recommends cost-effective solutions or changes that integrate within the overall DSAS facility strategy.

The position also supports activities related to CHES capital construction and project fund management. The incumbent would support the CHES Major Maintenance program, which consists of 60-100 open projects with an aggregate project budget of $50 million. The program is responsible for collecting requests, prioritizing projects, advising leadership, coordinating funding, and implementing approved project scopes. Participating in project management during all phases of project planning, design, and construction as the projects progress from conception to completion.

The Maintenance Project Specialist will work with multiple teams of professionals, both internal and external to CHES and DSAS to implement these duties. The position works collaboratively across all campus-based service providers and units that are responsible for facility design and operations.

Budgeted Salary: $32.00-$35.00/hourly Salary commensurate with skills, qualifications and experience.

JOB DUTIES

50% - DSAS Space Utilization Support and Facility Management

Manages DSAS space utilization requests and performs DSAS facility assessments. Maintains tracking system for DSAS facility user requests, inclusive of the following

  • Space modification requests
  • Repair and improvement requests
  • Mapping the use of program spaces to staffing lists
  • Identifying programmatic needs for various units
  • Tracking of space requests and initial responses

Facility Management and Space Utilization

  • Serves as a point of contact for all DSAS space users for concerns with the function of existing spaces.
  • Issues and tracks work orders for repairs.
  • Evaluates spaces to understand problem areas and prioritize repair needs.
  • Understands the program's needs and reconciles them with existing spaces.
  • Provides assessments of potential improvements.
  • Troubleshoots issues with DSAS space users and investigates as needed.
  • Issues work orders for corrections and tracks repairs to completion.
  • Coordinates with program staff and communicates program impacts.

Facilities Budget Oversight

  • Evaluates and oversees space use costs, inclusive of campus recharges, utilities, and any other costs that may be incurred.
  • Tracks progress of work orders; reconciles costs of improvements and repairs to budgets.

25% - Project Support CHES Major Maintenance Support

Provides support to the CHES Major Maintenance Program for renewal and repair of existing residence halls, apartments, and Dining Service kitchens, and similar (but separately funded) programs for College Houses, DSAS Units, and Student Facilities.

Assists with long-term maintenance needs through discussions with Directors, Facilities, FACs, University Dining Service Management, Physical Plant, D&CS, and Environmental Health and Safety (EH&S).

Project Management

  • Assists with coordinating project activities with primary project stakeholders including DSAS Staff, PPDO project managers, CHES Facility Asset Coordinators, and other end users to ensure accurate programming and timely and planned completion of projects.
  • Ensures buy-in and continued project review by all campus-based service providers and units that are responsible for facility design and operations.
  • Works with the CHES Conference Services Office to mitigate negative impacts of projects on its operations.
  • Obtains quotes for furniture and/or other equipment from approved vendors. Sets up purchases of furniture and equipment via Cruzbuy.

15% - Inspection and Analysis

  • Participates in the inspection of DSAS and CHES facilities by various units to meet compliance requirements: College Student Life for residential turnovers, Facilities for preventative maintenance, EH&S for safety and food service compliance, Office of Emergency Services for Title 19. Participates as necessary to ensure corrections are performed
  • Supports managers and staff with analysis and reports of issues related to facilities renewal and renovation, resource conservation, future plans, and strategic ideas.
  • May be required to operate university-owned vehicles to complete assigned job duties.

10% - Resource and Conservation

  • Investigates ways to reduce water and energy consumption, reduce the Carbon footprint, and eliminate waste.
     

 

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience and / or training.
  • Demonstrated experience in facilities planning, space utilization, design, major maintenance and facilities management.
  • Working knowledge of practices and procedures related to facilities maintenance.
  • Demonstrated computer skills and general knowledge of email, databases, word processing, spreadsheets, and presentation programs.
  • Demonstrated problem-solving skills with the ability to formulate creative solutions to problems and make independent decisions.
  • Excellent organizational skills with the ability to coordinate complicated and overlapping project components, and prioritize workload under pressure of frequent interruptions and competing deadlines.
  • Excellent interpersonal skills with the ability to assimilate complex information and communicate effectively orally and in writing with a diverse group of individuals at all levels of the organization.
  • Ability to work independently and exercise initiative, good judgment and discretion.

 

PREFERRED QUALIFICATIONS

  • Knowledge of asset stewardship issues, including major and deferred maintenance, life cycle refurbishment, resource conservation, and preventative maintenance
  • Knowledge of campus and UCOP sustainability policies, and practices and of technologies employed in sustainable facility operations and renovations.
  • Knowledge of University of California facilities policies and procedures, public contract law, Americans with Disabilities Act applications and Fire Marshal issues
     

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California.
  • Ability to conduct outdoor site visits, including use of required personal protective equipment, as required to conduct investigations, inspections, or view work in place.
  • The selected candidate will be required to work all scheduled hours on-site.

  • Ability to travel to multiple work locations on and off campus.
