Departmental Overview

The Berkeley School of Education (BSE) is a professional school that offers doctoral degrees with 12 concentrations, master's degrees, master's/credentials programs, and an undergraduate minor degree. In addition to research, the school is highly visible in its international, national, state-wide, and local outreach, professional development, and enrichment programs. The Leadership Programs match the overall scope of the BSE. Its offerings include 1 professional doctorate (EdD), the Principal Leadership Institute (MA + Preliminary Administrative Services Credential), Leadership Support (Clear Administrative Services Credential), the 21CSLA State Center (a grant-funded project of the California Department of Education), 21CSLA Regional Center, 21 CSLA Universal Transitional Kindergarten (UTK) and other grant and revenue- generated work. The current budget of the Leadership Programs is approximately $5 million annually and involves 5 directors, 3 coordinators, as well as over 40 lecturers, field program supervisors, graduate student researchers, and other staff.

Position Summary

The Program Assistant partners with the 21CSLA Directors and other faculty to provide comprehensive program support. The ideal candidate is passionate about supporting diverse adult learners to reach ambitious goals and enjoys working on a collaborative, fast-moving team. In addition to supporting Directors, the Program Assistant works as a committed member of an interdisciplinary team to support far-ranging Leadership Programs' initiatives benefiting leaders, schools and communities throughout the local public education system.

Responsibilities

  • Works closely with Directors on various administrative tasks including accurate use of data within spreadsheets. 
  • Compiles and arrays spreadsheets using subject-matter knowledge of the material to ensure data results are consistent with the nature of the data.
  • Provides support for travel arrangements and reimbursements, calendaring, grant reporting requirements, interfacing with communications team, utilization of various campus databases for purchasing, event planning, class schedules, and fee reimbursement.
  • Provides guidance, support, and follow through to staff and faculty on procedures, practices, and implementation of policies regarding classroom, program, and event needs. 
  • Stays informed and actively seeks out information on campus policies and procedures and amplifies timely updates on campus and unit policies and procedures.
  • Supports meeting/classroom setup and Zoom facilitation.
  • Determines need, orders, tracks, and organizes general office equipment and supplies.
  • Prepares correspondence and other written materials for department leaders and/or faculty requiring some specialized knowledge of the subject matter.
  • Continually monitors SPA email accounts to correspond with current and aspiring education leaders and other community partners.
  • Coordinates large, complex events/meetings/conferences.
  • Embraces the principle of being a “student always” by engaging in opportunities for training, workshops, seminars, continuing education pertinent to the position, or at the suggestion of the supervisor.
  • Actively contributes to a team environment that fosters and promotes a culture of diversity, equity, inclusion, and belonging (DEIB) within the unit and at BSE. 
  • Participates in workshops, training, and other professional development opportunities. 
  • Other Duties assigned.

Required Qualifications 

  • Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Demonstrated experience providing excellent customer service and administrative support in a customer service environment.
  • Thorough knowledge in administrative procedures and processes including word processing and spreadsheets.
  • Ability to work independently, often under pressure of multiple deadlines and ability to prioritize workflow.
  • Must be highly detail-oriented.

Salary & Benefits

This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid hourly and eligible for UC Benefits.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. 

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $28.44 (Step 1) - $34.88 (Step 10).

This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
