Description
Provide administrative support for the Office of Fraternity & Sorority Life, assisting students, staff, and guests with general inquiries and requests. Duties may include managing shared email inboxes, managing resource requests, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting visitors/clients/staff/others, mail distribution, and photocopying.
Minimum Education and Experience
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
Preferred Education and Experience
Requires attention to detail, accuracy while maintaining professional and effective communication. Must demonstrate a high level of integrity and professionalism when handling sensitive data and be proactive in identifying and resolving issues. Experience in managing an office setting, strong background in budgeting, Microsoft Office suite, information/records administration, written and interpersonal communication, and problem solving preferred.
Essential Duties and Responsibilities
- Provide general administrative support for the office, including responding to general inquiries from students, staff, faculty, and other individuals.
- Assists in monitoring, administering, and coordinating department budgets.
- Monitor and respond to inquiries in the fraternity & sorority life, event registration, and student employee shared email inboxes.
- Coordinates travel arrangements and prepares vouchers for payment and reimbursement for staff.
- Maintains calendars and schedules meetings, conferences, and workshops for staff.
- Composes routine correspondence, reports, and memoranda. Ensures compliance with applicable laws, regulations, policies, and procedures.
- Assures effective operations, the accuracy of data, and the security of assets through the use of sound financial and business practices and appropriate internal controls.
- Support the student experience by providing quality customer service to students and office guests' needs in the Office of Fraternity & Sorority Life.
Additional Information
Remote Notice:
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
