Description
Provide advanced administrative support for a large and complex department, including budget management, account reconciliations, time administrator verification, records management, purchasing, and general administrative support. Requires a thorough knowledge of University policies and procedures, initiative, and the ability to make decisions relative to office operations and within areas of delegated responsibility. Provides office management, scheduling support, and travel arrangements for multiple staff.
Minimum Education and Experience
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
Preferred Education and Experience
Bachelor's degree in Business or Public Administration. Five years of office administration or project management. Strong Microsoft Office Suite skills using PeopleSoft software, team player, excellent attendance rate, and communication skills. Experience in higher education environment.
A successful candidate is able to communicate and maintain composure in a high-volume office with students who may be experiencing stress.
Essential Duties and Responsibilities
Administrative Assistant II provides clerical and administrative support to the Dean of Students and Associate Deans.
- Management of the front office space for the Dean of Students suite
- Management of busy calendars
- Coordinating with the administrative assistants of other university administrators
- Answering a high volume of phone calls
- Coordinate travel arrangements and travel expense reimbursements
- Make decisions and interpret administrative policies for the department
- Maintain and monitor financial records and purchasing cards
- Assure the accuracy of data and the security of departmental assets
- Function as a liaison between the Dean of Students/Associate Deans and other departments campus-wide
- Maintain office functions in an ever-changing office environment
- Other duties as assigned
Additional Information
Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
