Description
The Administrative Assistant will provide professional administrative support for a large complex department. This individual will also manage the Research Exposure Credits (REC) requirement for BBS psychology courses through eLearning and the Sona system. Sona requires continuous enrollment and upkeep of student rosters, maintaining communication with students and instructors, approving research studies in collaboration with researchers and the UTD IRB office, as well as general system maintenance each semester.
Minimum Education and Experience
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

- Experience in administrative roles in a higher education setting is highly preferred but not required.
- Experience with PeopleSoft and other UTD systems is preferred.
Essential Duties and Responsibilities
Duties & Responsibilities:
- Oversee and handle general office duties and administrative tasks independently and as part of a team working with the Administrative Services Officer.
- Provide administrative support for the department head.
- Coordinate and support faculty searches and onboarding/offboarding of new faculty.
- Support academic scheduling by working closely with program heads and department chair.
- Administer calendar for shared lab space.
- Event coordination and support.
- Monitor REC requirements for BBS psychology courses through eLearning and the Sona system.
- Maintain student enrollment in Sona while working closely with students and instructors.
- Approving research studies in collaboration with researchers and the UTD IRB office.
- Meet multiple deadlines, exercise initiative and judgment over non-routine administrative tasks, prioritize, and foster good working relationships.
- Assure compliance with university policies and procedures, particularly related to financials, travel, and procurement.
- Interpret administrative policies and regulations to faculty, staff, and students.
- Perform other duties and tasks as assigned.
Essential Knowledge, Skills & Abilities:
- Strong computer skills with proficiency in Microsoft Office Suite, particularly Excel.
- Excellent oral and written communication skills.
- Good initiative, attention to detail, and strong organizational skills.
- Ability to multi-task and handle multiple competing deadlines.
- Ability to work collaboratively and cooperate with others.
Additional Information
Remote Work: After the appropriate training period, this position may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area for prompt arrival on campus with a 24-hour notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
