Job Summary:

The Employee Payroll Representative is responsible for managing transactions impacting the overall employee life cycle records supporting all non-union and unionized VON employees.  Key Responsibilities:
  • Efficiently and accurately provide timely entry and maintenance of all records related to the life cycle of a VON employee in multiple organizational systems.
  • Maintains up-to-date knowledge of VON HR policies and collective agreement changes to ensure that the system of record is reflective of these requirements.
  • Performs regular audits to ensure the data integrity of all records across all systems, and assists with investigations and fact-finding when required. 
  • Generates SAP reports for analysis to understand/interpret data, audit the information to ensure accuracy and takes corrective action to resolve any issues. 
  • Supports the Talent Acquisition (TA) team in the hiring process by identifying inconsistencies between the hiring form, VON policies and collective agreements and collaborates with the TA team to ensure employee offer letters align. 
  • Prepares employment letters for internal employee changes related to status or position, confirmation of employment, total hours worked and portability of benefits ensuring the conditions outlined in the letter are in accordance with the collective agreement provisions or VON policies. 
  • Contributes to VON Connect project for work flow data, process mapping and to identify LEAN practices to streamline current practices. 
  • Collaborates with the Pension and Benefits team to identify the impact of retroactive employment status changes, and consults with the site manager to determine the best course of action.
  • Main point of contact for employee inquiries, investigating concerns, and if required, escalates the issue to ensure an appropriate outcome.
  • Assists internal and external stakeholders requiring confirmation of employment, employment history, etc., in accordance with VON privacy of information guidelines.
  • Responds to inquiries from bargaining units regarding the employment status of their members in relation to dues remitted.
  • Troubleshoots and resolves time evaluation errors and payroll "hard stops" that prevent payroll from processing.
  • Works with the site manager to ensure that employees with temporary social insurance numbers have a valid work permit on file.
  • Validates, reviews, and ensures completion/accuracy of documents and forms submitted to payroll and when necessary, assists site managers and administrative staff regarding the proper completion of documents (i.e. tax forms).
  • Ensures VON Service Desk onboarding tickets are processed in a timely manner.
  • Works towards the fulfillment of department goals and actively participates in the development and ongoing improvement processes within the ESS team.
  • Assists the Sr. Manager Employee Support Service – Payroll in business testing for configuration changes related to the employee profile.
  • Prioritizes work based on payroll blackout periods.
  • Special projects and other duties as assigned.

  • Works in collaboration with other staff in a team approach to service delivery. 
External and Internal Relationships:
  • Collaborates with internal stakeholders across the organization to ensure accuracy and employee data integrity.
  • Engages with employees, cross-functional team members, Managers, Directors, and Senior Directors to advise on processes and procedures.
  • Main point of contact for external employment verification requests.
 Education, Designations and Experience:
  • Degree or diploma in a relevant field. 
  • A minimum of 5 years relevant experience with an HRIS and payroll systems such as SAP, Procura & AlayaCare. 
  • Experience supporting a health care and highly unionized environment is considered and asset.

  • Strong organizational skills with an ability to adapt to rapidly changing priorities in a deadline driven environment.  
  • Strong customer service skills, conflict resolution, problem solving, follow-up and critical thinking.  
  • Demonstrated high level of accuracy, thoroughness and strong attention to detail. 
  • Excellent verbal and written communication skills. 
  • High proficiency in Windows OS and Microsoft Office Suite software.
  • Advanced data entry and keyboarding abilities. 
  • Strong commitment to confidentiality and discretion. 
  • Demonstrated commitment to working in an environment with high confidentiality and discretion.  
 Other:
  • A current and original copy of a satisfactory Criminal Records Check. 
  • A Vulnerable Sector Search and/or a Child Abuse Registry Check may be required. 
  • Available to work flexible hours, including statutory holidays when required
  • The use of Personnel Protective Equipment (PPE) may be required. 

Working conditions and physical demands: This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.
