Job Summary: The Student and Learner Experience Coordinator works as part of the Practice, Quality and Risk team to drive VON's growth as a leader in high-quality student placements and assist with staff recruitment. This role coordinates clinical placements and internships while fostering strong relationships with academic partners and internal teams. The coordinator enhances VON's educational offerings and supports its mission of exceptional community care. Key Responsibilities:
- Coordinates and facilitates all student and learner placements across the organization.
- Coordinates and supports education opportunities for students and staff within VON, including clinical placements, paid and unpaid internships/residencies, and other educational initiatives.
- Coordinates student orientation needs, including access and completion of the National Student Orientation, and updates the educational materials accordingly.
- Prepares and submits grant applications in collaboration with management to secure operational and educational funding.
- Manages all legal affiliation agreements with educational institutions and ensures appropriate approvals are complete.
- Ensures all legal documents related to student and learner experiences have been reviewed by the required departments and comply with relevant laws and regulations.
- Manages the receipt of awarded grants, including tracking expenditures and preparing reports.
- Utilizes VON's internal data sources to monitor, track and report on Key Performance Indicators (KPIs) across service delivery programs and sites.
- Develops, distributes, and analyzes student surveys to produce actionable reports that drive improved recruitment and retention strategies.
- Promotes VON Canada as the organization of choice for student placements with academic partners.
- Leads information sessions and outreach initiatives at post-secondary institutions to drive student recruitment and engagement.
- Supports VON's Research Committee by facilitating research oversight, including processing research requests, coordinating committee approvals, and collaborating with operational teams, researchers and academic partners to support effective implementation.
- Oversees the maintenance of an existing database for placements, preceptors, and mentors for accurate data tracking.
- Ensures associated polices and documents are located on the VON website and intranet.
- Assists VON sites with preceptor improvement opportunities by maintaining updated preceptor training materials, collecting and processing feedback for managers to support preceptor improvement, and offer guidance for preceptors when required.
- Leads or facilitates student-related quality improvement initiatives across service sites through the collection of post-placement feedback.
- Promotes the goals and values of VON and its role as an integrated community care provider.
- Attend and actively participate in applicable meetings.
- Leads or facilitates practice related quality improvement initiatives across service delivery programs/locations to support evidence and informed decision making and safe and effective care delivery
- Promotes a safe and healthy workplace, ensuring workplace conduct and activities are in accordance with the provincial Occupational Health and Safety Act and Regulations and compliant with the VON Safety Management System, including all Policies, Safe Work Practices and Procedures

- Develops new and/or maintains effective partnerships with post-secondary placement coordinators, signing authorities, and academic institutions, including regular communication and collaboration on student placements.
- Develops and maintains relationships with preceptors, mentors, and clinical educators to support student learning experiences.
- Develops effective internal relationships across departments to facilitate the achievement of objectives and responsibilities within this role.
- Collaborate with internal teams to identify and recruit high-performing students, ensuring a well-coordinated and comprehensive support system for learners.
- Consults with Legal Counsel to address legal issues or questions regarding student placements and educational partnerships.
- Bachelor's degree in a relevant discipline such as Educational Administration, Human Resources, Business Administration or Organizational Development.
- Minimum 2 years of related experience in community and health-based care, including an understanding of student placement databases (e.g., Health Sciences Placement Network (HSPnet)) and how to use them proficiently.
- Minimum 3 years of experience working with students in a post-secondary environment preferred.
- Experience with human resources management preferred.
- Knowledge and experience in modern facilitation and education techniques preferred.
- Experience in program planning and evaluation is an asset.
- Experience in volunteer administration is an asset.
- Experience or understanding of the not-for-profit healthcare environment is an asset.
- Proficient in Windows OS and MS Office Suite programs.
- Demonstrates excellent oral and written communication skills, with the ability to deliver effective webinars and presentations.
- Knowledge of various academic programs throughout Canada.
- Strong organizational skills with an ability to prioritize, multitask, and problem-solve.
- Demonstrated knowledge of the social and health care services network and community resources.
- Knowledge of community resources and programs, as well as a proven ability to build strong relationships with community partners.
- Demonstrated experience working with complex and sensitive issues requiring a high degree of diplomacy.

- Must have a personal vehicle and possess both a current driver's license and proof of vehicle insurance
- Willingness to travel to attend meetings with VON and with Academic Institutions when required.

- A current and original copy of a satisfactory Criminal Records Check is required
- A Vulnerable Sector Search and/or Child Abuse Registry Check may be required
- Must be able to wear Personal Protective Equipment (PPE)
