The Cardiopulmonary Services Department provides essential diagnostic and support services that help deliver high-quality patient care throughout the organization. The Unit Secretary/HUC serves as a key administrative resource, ensuring department operations run efficiently while supporting patients, providers, and clinical team members.
Job Summary:The Unit Secretary/HUC assists, organizes, supports, and maintains the non-clinical functions of the Cardiopulmonary Services Department. In this role, you will serve as an important point of communication for patients, physicians, and caregivers while coordinating scheduling, processing diagnostic reports, managing department documentation, and supporting day-to-day departmental operations. The ideal candidate is highly organized, detail-oriented, and committed to providing excellent customer service while supporting Wilson Health's mission of compassionate, quality care.
Key Responsibilities:- Answer department telephones, retrieve documents, assist with physician billing, and schedule diagnostic procedures.
- Coordinate and serve as a liaison between physicians, caregivers, and staff regarding the EKG Management System and Electronic Medical Record (EMR) system.
- Process and distribute diagnostic reports in a timely and accurate manner.
- Assist with department payroll and staff scheduling activities.
- Support productivity management through statistical tracking, analysis, and reporting.
- Manage department supplies, including ordering, receiving, stocking, and inventory control.
- Process daily patient charges and maintain accurate records.
- Assist with patient preparation for diagnostic procedures.
- Perform EKGs as needed.
- Maintain, organize, and reproduce departmental and patient documentation.
- Communicate effectively with patients, families, providers, staff, and external agencies.
- Maintain patient confidentiality and comply with all hospital policies, procedures, and safety standards.
- Perform additional duties as assigned within the scope of responsibility.
- Certificate from a college or technical school preferred; or three to six months of related experience and/or training; or an equivalent combination of education and experience.
- Current Basic Life Support (BLS) certification required.
- Familiarity with medical terminology.
- Proficiency with computer systems and Microsoft Office applications.
- Ability to type at least 60 words per minute.
- Strong organizational, communication, and customer service skills.
- Ability to perform basic statistical analysis and maintain accurate records.
- Ability to coordinate multiple priorities and activities simultaneously.
- Ability to read, interpret, and apply policies, procedures, and written instructions.
