The Front Desk Associate is responsible for supporting numerous administrative duties for the site and ResultsCX corporate. This may include, but not limited to, coordinating site activities, assisting with operational and other reports and trackers, site event planning, coordination of facility related needs and more. This position reports to the Site Director and staffs the front desk lobby of the site.
In this role you will:- Staff the reception desk located in the lobby
- Create positive experience with each interaction with our employees, candidates, new hires, vendors and community members who enter our facility; and will be the company's ambassador.
- Bring positive engagement, smiles and warm communication to all who enter the lobby area creating great first impressions
- Ensure visitors complete necessary forms for check-in
- Provide visitor/vendor badges and follow security protocols
- Greeting and welcome new hire classes, create badges and hand off to training
- Assist with candidate and client office visits as representative of the Site Director as needed.
- Prepare for client visits, creating badges, welcome board, agendas, car services as needed, catering and purchasing items for meetings
- Collect mail from mail box and post office, file and distribute all ResultsCX mail daily, scan and route to the appropriate stakeholder (Provide to Site Director, People solutions, Legal, Accounting, AP/AR)
- Forwarding voicemails left on main line to correct person/department
- Printing and sending correspondence to and for Corporate, including regular, express and certified mail.
- Vendor management, including but not limited to ordering supplies
- Observe and report any concerns that occur with employees, vendors, suppliers entering and exiting the facility to People Solutions
- Facilitate pay checks that are live to employees, sending credit cards to overseas employees
- Print and mail accounts payable checks, and Tax returns in accordance with company policies and depositing checks for Accounts Receivable
- Assist with completing and facilitating expense account and Credit card processes
- Assist with weekly and monthly reports
- Assist with the execution of site events
- Assist with site communication drafts and site presentations
- Perform other duties as assigned and deemed necessary
- Professional appearance which includes business casual attire
- Associate degree preferably in business or related field
- 1-2 years experience in similar position
- Strong Business orientation
- Professional disposition and demeanor towards all employees
- Excellent communication and interpersonal skills both written and oral
- Fast learning ability
- Strong analytical and organizational skills
- Confidential approach to all areas of support and maintains confidentiality
- Excellent Microsoft Office skills, strong excel, word and PowerPoint
- Administrative experience (a plus)
- Call center experience (a plus)
